MEETING MINUTES
May 12, 2015
Call to Order
Club President, Lanny Six called to order the regular meeting of the GHS Touchdown Club at 7:02 PM, on May 12, 2015, at the Nathanael Greene Community Center, Guilford, CT.
Roll Call
Jane Six, Stephanie Moscato, Chris Jankura, Michele Robertino, Frank Ralston, Paula Downer, Jacquelyn A. Kronengold, Lanny Six and Sebastian Derda were in attendance.
The following materials were distributed: Meeting Agenda, Meeting Minutes dated April 14, 2015, Treasurer’s report, President Six’ “Who? What? When? How?” letter, “Fundraising Opportunities” sheet and GHS Football Committees 2015 Sheet.
Officer’s Reports
Secretary’s Report: Meeting Minutes from April 14: The minutes from the last meeting were reviewed. A motion was made to accept the minutes with revisions and was unanimously agreed upon.
Treasurer’s Report: Treasurer Derda presented his report which included Club income and expenses. The insurance payment is due in September. There will be no changes to the insurance coverage. Alex Conover will help to review the insurance policy. Treasurer Derda stated that the UPS Store, located at the Village Walk, will donate a mailbox to the Club. A motion was made to accept the Treasurer’s report and was unanimously agreed upon.
Vice President’s report: Co-Vice President Jankura circulated copies of the 2015 GHS Football Committees list to meeting participants. This list will be available at the Coach Eagle Meet and Greet. The second car wash is scheduled for August 8, 2015, 9:00 AM -1:00 PM, at Palumbos. A motion was made to accept the Vice-President’s report and was unanimously agreed upon.
President’s report – There was no President’s report.
Coach’s report: President Six gave Coach Eagle’s report. There will be an additional part-time volunteer coach. However the name of the volunteer was not provided. There will be 4 paid coaches plus the head coach. The Coach has not asked for the additional stipend.
Scrimmages – both scrimmage sessions will be at home this year.
The Quad Scrimmage will be held, Saturday, August 29, 2015 at 11:00 AM versus Derby, Hyde, and Weaver Coop.
Second Scrimmage will be Friday, September 4, 2015 at 6:00 PM versus Haddam/Killingworth.
The coach is also evaluating the equipment needs of the team. Every piece of equipment has been reconditioned. Style and color of the current team uniforms are being evaluated.
Coach Eagle will be meeting with Jake Jarvis and a representative from Riddle this week.
Michele Robertino’s report – Meet and Greet. Current head count was provided. All coaches have accepted the invitation. Total number of tickets sold and number of invited guests provided. Venue (VFW) provided with this total count. A reminder email about the Wall of Wine was discussed. Unwrapped wine bottles will be raffled off at the end of the night. Raffle tickets will sell for a nominal fee. All donations fund the GHS Touchdown Club scholarship fund.
The format of the email reminder about the Wall of Wine is discussed.
There was a discussion about whether or not to pre-sell tickets for car wash, Sunday, June 7, 2015. This decision was put to a vote and it was unanimously agreed upon that we would pre-sell tickets for the car wash. Deana Ralston will produce the car wash pre-sale tickets.
Cheerleaders and Touchdown Club Collaboration: Indefinite Table. President Six will share the Club’s thoughts with Coach Eagle. However, should the cheerleaders choose to collaborate, the dance team should be a part of this collaboration as well.
Expenses: 2015
Coach Eagle would like the team “buyout” method of fundraising to be determined on an annual basis. He sees the merits of such a plan and is cognizant that this fundraising method may be necessary.
Ideas for fundraising are discussed. Many teams at the school have unique ways to raise funds. We can reinvent some of our more profitable fundraising projects. The Wrestling Team is providing the format and instructions for one of their successful fundraising projects. If we will produce an Ad Book, it needs to be completed and ready for distribution by August 25, 2015. A motion was made to accept the Expenses for 2015 and was unanimously agreed upon.
New Business:
Touchdown Club Scholarship recipient will be announced June 2, 2015.
Current varsity uniforms were purchased 4 years ago. Jake Jarvis is committed to purchasing new varsity green home jerseys and Coach Eagle would also like to purchase new green pants. However, the school may not provide additional funds monies for the pants. Coach Eagle would like to petition Jake Jarvis for the new pants. The Club will assist where it can, regarding procuring these pants for the team.
President Six adjourned the meeting at 8:35 PM.
